This part covers the practical, format-level work that underpins every chapter in Part 3: how to produce accessible documents, slides, video, and online content; how to design assessment that measures learning rather than incidental barriers; and how to talk to students about support in a way that is respectful and genuinely useful. Because this content applies across every accessibility category, it is covered once here rather than repeated seven times in Part 3.
1. Accessible Teaching Materials
Most accessibility barriers in higher education are not caused by dramatic, one-off events. They are caused by small, repeated, easily fixed formatting choices, made without thinking, in the ordinary business of producing a slide deck or a reading list. This section sets out the specific, practical choices that make the biggest difference.
Documents
- Use proper built-in heading styles — never bold text alone — so a screen reader can navigate the structure of the document rather than reading it as one undifferentiated block.
- Use a plain sans-serif font (e.g. Arial, Verdana, Tahoma) at 12–14pt for body text; avoid underlining except for links, avoid excessive italics, and avoid setting whole words or headings in ALL CAPITALS, which is both harder to read and cannot be emphasised further if needed.
- Use sufficient colour contrast between text and background, and never rely on colour alone to convey meaning — a red ‘incorrect’ label needs a second cue (an icon, the word ‘incorrect’ itself) for a colour-blind reader.
- Add meaningful alt text to any image that carries information; purely decorative images can be left unlabelled so a screen reader does not waste a student’s time announcing something with no informational content.
- Use simple, clearly labelled tables with genuine header rows (not just bold text formatted to look like a header), and use descriptive link text — ‘the university’s accessibility policy’, not ‘click here’ — since a screen reader user often navigates a page by jumping between links alone.
- Avoid scanned, image-only documents entirely. A scanned page of text is, to a screen reader, indistinguishable from a photograph — completely unreadable, however good the print quality looks to a sighted reader. Export directly from the source document to PDF instead of scanning a printed page.
- Provide an editable or alternative format on request — large print, audio, or Braille conversion — recognising that the more accessible the source document already is, the less time-consuming this conversion becomes; a badly formatted starting document can take hours to make usable, while a well-structured one converts in minutes.
Presentations
- Keep slides uncluttered, with a limited amount of text per slide — a slide dense with text is hard to read for many students, not only those with a specific visual or attention-related difficulty.
- Describe diagrams and images aloud rather than assuming they are self-explanatory, and avoid the habit of saying ‘as you can see here’ without further description.
- Ensure content can be understood without relying only on colour — a chart distinguishing categories by colour alone excludes colour-blind readers and anyone accessing the content in black-and-white print.
- Avoid flashing or rapidly changing content, which can trigger discomfort or, in rare cases, seizures for some viewers, and is disorienting for many others.
- Share slides before the session, not only afterwards, so students who benefit from pre-reading vocabulary or structure — a theme that recurs across almost every chapter in Part 3 — have the chance to do so.
Video and audio
- Provide accurate captions on all video content, and a written transcript where possible — captions that are auto-generated and unchecked frequently contain enough errors to genuinely obscure meaning, particularly for technical or discipline-specific vocabulary.
- Ensure audio quality is clear, since poor audio compounds every other access barrier — a hard-of-hearing student managing marginal audio quality has far less capacity left over to process content.
- Describe important visual information verbally within the recording itself, rather than assuming a viewer can see what is being shown on screen.
- Avoid using uncaptioned media as essential, non-optional teaching content — if a video is the only source for a piece of required content, its inaccessibility becomes a barrier to the module itself, not just to that one resource.
Online teaching
- Use consistent navigation and clearly labelled resources from week to week — a recurring theme throughout Part 3 is that inconsistent structure disproportionately affects students managing executive-function or anxiety-related difficulties, while genuinely costing sighted, neurotypical students very little.
- Ensure keyboard accessibility, so that a student who cannot use a mouse (whether due to a motor impairment or because they are using a screen reader, which relies on keyboard navigation) can still complete every function on the page.
- Provide accessible file formats for anything students are expected to download or interact with.
- Record sessions where institutionally and pedagogically permitted, and explain participation expectations clearly at the start of a module, so students know in advance what live attendance genuinely requires versus what flexibility exists.
- Provide an alternative where a specific platform creates an accessibility barrier for a student — for instance, where a particular tool is known to be incompatible with a specific screen reader.
Refer to WCAG 2.2 AA as an internationally recognised digital accessibility standard for anything published online, while checking whether local legal requirements in a given country add anything further to this baseline.

A quick before-you-send checklist
A short version of the guidance above, sized to run through in under two minutes before sharing any document, slide deck, or link with students.

2. Inclusive Assessment
Assessment is where accessibility barriers become highest-stakes, because a barrier that costs a student a few minutes of extra effort in a lecture can cost them marks, or a degree classification, in an exam. Good assessment design separates what is actually being tested from how it happens to be tested, and treats the second as a design choice rather than a fixed feature of the subject.
- Make assessment instructions clear, and explain marking criteria in writing, well before the assessment itself — ambiguous or verbally-delivered-only criteria disadvantage several categories covered in Part 3 simultaneously, and genuinely help every other student too.
- Provide sufficient notice of assessment dates, formats, and any changes — late notice compounds anxiety and executive-function load in a way that is entirely avoidable.
- Avoid unnecessary time pressure where it is not part of the actual learning outcome being tested. Ask directly: does this task need to be timed to validly assess what it claims to assess, or is the time limit simply administrative convenience?
- Ensure the assessment measures the intended learning outcome, not an unrelated skill — handwriting speed, spoken fluency, or spelling accuracy — unless that unrelated skill is genuinely and explicitly what is being assessed.
- Consider alternative formats where appropriate. The same learning outcome can very often be demonstrated through an essay, a presentation, a portfolio, an annotated diagram, or recorded work — the format is usually a design choice, not something fixed by the subject matter itself.
- Implement approved extra time and rest breaks reliably, and ensure exam materials are themselves produced in an accessible format — an agreed adjustment delivered alongside an inaccessible exam paper is not, in practice, an adjustment at all.
- Avoid penalising disability-related differences that are unrelated to the learning outcome — for example, marking down spelling in a subject where accurate spelling is not itself the skill being tested.
- Communicate any changes to assessment promptly, and check arrangements are genuinely in place before the assessment begins, rather than discovering a gap once a student is already sitting the exam.
Worked example: a learning outcome of ‘demonstrate understanding of the theory’ can be assessed equally validly through a written essay, a recorded oral explanation, or an annotated diagram — a lecturer choosing between these formats is making a design decision, not applying a fixed rule about how the subject must be assessed. The same principle applies across disciplines: a lab report’s learning outcome is usually ‘can the student interpret and explain the results’, not ‘can the student physically write for two hours without a break’ — and once that distinction is made explicit, several apparently difficult accommodation requests turn out to be straightforward.
3. Communicating with Students — Ready-to-Use Wording
How a teacher talks about accessibility, in the moment, often matters as much as what adjustment is actually offered. The five short scripts below are deliberately plain and low-key — none of them require the teacher to have specialist knowledge of a condition, and none of them ask the student to justify or explain their needs in detail. Avoid intrusive questions about diagnosis, treatment, family circumstances, or private medical information unless the student voluntarily shares it and it is directly relevant to what is being discussed.
Asking about support
Say: “Please let me know whether there are any agreed adjustments or accessibility arrangements I should be aware of for this module.”
This works as a standard line in a first-session introduction, a welcome email, or a course handbook — normalising the question for everyone removes the pressure on any one student to be the one who raises it.
Responding to a disclosure
Say: “Thank you for telling me. I will treat this information confidentially and work with you and the appropriate university service to support your participation.”
The key elements here are gratitude (not surprise or over-reaction), a confidentiality commitment, and a next step — this response works whether the disclosure happens by email, after a session, or in a one-to-one meeting.
Checking an adjustment
Say: “I would like to confirm that the agreed arrangement is working as intended. Please let me know if there is still a barrier.”
This is worth using proactively, not only when a problem has already been raised — several chapters in Part 3 note that an adjustment agreed on paper is not the same as one confirmed as actually working in practice.
Addressing an accessibility problem
Say: “Thank you for raising this. I will provide an accessible version and review how the material was prepared so that the issue does not happen again.”
This response does two things at once: it fixes the immediate problem and commits to a process change, which matters more than it might seem — a student raising a barrier wants to know it will not simply recur next week.
Referring to support
Say: “I may need support from the relevant university team to arrange this properly. I will explain the next steps and make sure the issue is followed up.”
This is honest about the limits of what a teacher alone can arrange, while making clear the teacher is not simply handing the problem off and disappearing.
